In compliance with the Personal Information Protection & Electronics Document Act, Midwest Co-operative Services Inc. (Midwest Co-op) is committed to ensuring the accuracy and security of all personal information provided to us by customers and employees and to advise you of our policy regarding the use and disclosure of this information.

We reserve the right to change this Privacy Policy at any time. Any changes will be effective immediately upon the posting of the revised Privacy Policy.

Your personal privacy is of the utmost importance to us. We are deeply committed to protecting the security and welfare of all of our clients and our policy is to respect and protect the privacy of every customer and employee.

Personal information provided to update our records will be used and disclosed only for the purposes identified or for other purposes consistent with our mission, to correspond to you, to keep you informed of Midwest Co-op activities, programs and services and to meet legal and regulatory requirements.

We do not rent, sell or trade your personal information. We will maintain physical, electronic and organizational safeguards to protect all personal information collected. An individual may address a concern regarding our compliance with the act and/or withdraw their consent to retain personal information at any time by contacting the Midwest Co-op or Privacy Officer (Company Controller) at 1-519-392-8692 or by mail to Box 39 15 Hillcrest St. E, Teeswater ON N0G 2S0.

Obtaining Your Consent to Collect Your Information:

You give us your personal information when you make an application for an account and/or membership, for government regulations and for Midwest Co-op programs and services. The information is recorded on company forms, which are forwarded to Midwest Co-op’s North main office in Teeswater for file updating and storage.

Midwest Co-op does not collect individually identifiable data on users from our website unless you choose to give it to us via an electronic mail message. When you do choose to give us your information, we keep it confidential.

Using Your Information Only for Disclosed Purpose:

Personal information gathered will only be used for the purpose intended.  Your information is never shared with or sold to third parties unless you have given us implied or expressed consent to do so.

Security – Protecting Your Information:

Midwest Co-op is serious about security. Each employee associated with this company who has access to personal information must comply with the federal Personal Information Protection and Electronics Documents Act (PIPEDA).  Our office computer system uses a combination of software and hardware designed to protect against unauthorized entry and loss, theft, or misuse of personal information.  Although we make every effort to protect personal information by using passwords on our network, no computer system is immune from hackers and others who might misuse information.  We are, therefore, not responsible for any breach of security that is beyond our reasonable control.  All paper copy documents are maintained in locked cabinets, stored on Midwest Co-op property.

We reserve the right to confirm your identity before complying with any access requests. You can challenge the accuracy and completeness of your personal information under our care and control, and we will take reasonable steps to correct it.

Disposal of No Longer Needed Information:

When personal information is no longer needed due to termination of business with us and/or no longer required by legislative regulations, your personal information will be destroyed. All paper documents will be destroyed by a certified shredding company. Information stored electronically will be made unavailable for use or deleted from company computers by authorized Midwest Co-op staff.
